Creating a Public Records Alert 

Take the following steps to create a Public Records Alert:

  1. While viewing your search results, click the Alert icon.
  2. Enter the Alert Name, Frequency, and Time.
  3. Select the Delivery Method from the Notifications dropdown.
    Note: When you select Email, enter the Email address (up to 3 addresses, separated by semicolons), Subject, and Note.
  4. Click Save.

Update Schedule and Frequency for Public Records Alerts 

Public Records Alerts run on the following schedule:

  • Daily - specify Time of day
  • Weekly - specify the Day of the Week (Monday - Friday) and Time of Day
  • Monthly - specify Day of the Month and Time of Day
Note: Public Records Alerts do not run continuously like other Alerts.

Notifications and Delivery Options for Public Records Alerts 

There are two delivery options for Public Records Alerts:

  • Email - can be sent to up to 3 email addresses
  • Online - must sign in to LexisNexis® Public Records to view results

Viewing Public Records Alerts 

Public Records Alerts are stored separately from the other Alerts and are only available after you access LexisNexis Public Records from the product selector or the public records link.

Once in LexisNexis Public Records, click View Alerts in the upper right-hand corner to open a page which displays a list of your Public Records Alerts.

Editing Public Records Alerts 

Public Records Alerts have limited editing capabilities.

Take the following steps to edit a Public Records Alert:

  1. Click View Alerts link in LexisNexis Public Records.
  2. Click Actions.
  3. Edit the Edit Alert option and make your changes
  4. Click Save.

You cannot edit search terms or sources. If you want to edit the search or source, you must delete the Alert and create a new Alert.

Source Availability for Public Records Alerts 

Alerts can be set up in the following sources:

  • Bankruptcy Filings
  • SmartLinx® Comprehensive Person Report
  • SmartLinx® Comprehensive Location Report
  • Corporation Filings
  • Judgments & Liens
  • Real Property
  • Uniform Commercial Code Filings

Comprehensive Reports Alerts 

In order to set up an alert, you have to first access a report. Like other alerts, you cannot edit the search criteria, only the name, frequency, and delivery method.

Take the following steps to create a Comprehensive Report Alert:

  1. While viewing a Comprehensive Report, click Save as Alert.
  2. Select the Sections of the report you want to monitor.
  3. Enter Name.
  4. Select Frequency.
  5. Select your Delivery options.
  6. Click Save.

Note: When you select Email as your delivery method, you only receive a notification that one of the sections you are monitoring has changed. You do not receive the actual report. You must sign into LexisNexis Public Records and view the report to see what has changed.

Government Agency or On Government Behalf Secondary Permissible Use Alert Update 

Beginning March 2024, a Secondary Permissible Use is required when Government Agency or On Government Behalf is selected as a DPPA Permissible Use (for further details, see Which DPPA Permissible Use Do I Use? ). A couple of key points:
 

  • As a result of the Secondary Permissible Use rollout, any Public Records Alerts that were set up prior to March 1, 2024 with Government Agency or On Government Behalf selected as a DPPA Permissible Use will need to be updated to include a Secondary Permissible Use. 
  • Any Public Records Alerts set up prior to March 1, 2024 with Government Agency or On Government Behalf selected as a DPPA Permissible Use will no longer run until the Alert has been updated with the Secondary Permissible Use

To assist you in updating any impacted Alerts, beginning March 1, 2024 there will be a link on the Terms for Use of Data page (eg - the page where you select your Permissible Uses).  The Link will appear at the top of the page, and will be entitled "Click Here to Update Alerts with Secondary DPPA."  Following the link will produce a pop up message. Click here to see a screenshot. 

Note - if a pop up does not appear, your browser may be blocking the pop up.

The following options are available:
  • Click here to Update Permissible Use Selections by adding a required Secondary Use - this option can be used to update all impacted alerts with the same secondary use at the same time.  Deleting the alert is not an offered choice under Option 1. Click here to see a screen shot.

    Note - you must click the blue Save Changes button at the lower right hand side of the window.
     
  • Click here to Delete All Alerts using "Government Agency" and/or "On Government Behalf" permissible uses - this option can be used to Delete all Alerts without reviewing them.  There will be a warning that this option will delete all applicable alerts.  Selecting Delete from here will permanently delete all of the Alerts and cannot be undoneClick here to see a screenshot.
     
  • Click here to Update Permissible Use Selections or Delete all "Government Agency" / "On Behalf of Government" Alert(s) at One Time - this option can be used to update or delete impacted Alerts one by one. This option allows the user to see each impacted alert and choose to delete or update the secondary use for that single impacted alert individually. For users with more than 10 alerts, this process may be time-consuming, so the window will remain open so the user can move on to their research and come back, or the user can save, close the window and complete the updating during a different research session.
     
    • All Alerts do not need to be updated in session.
    • You can process groups of DPPA alerts until all DPPA alerts have been updated
    • There will be reminders each time you log into Public Records indicating there are remaining DPPA alerts that need to be updated until they are completed. 
    • You must click the SAVE button and wait for updates to complete before leaving the page or your updates will be lost. 
    • The system may take a couple of minutes to update.

  • Click here to Remind Me Later - The pop up screen and options will disappear, leaving you at the screen to select your Permissible Uses to proceed with your research as normal. 
     
The "Click Here to Update Alerts with Secondary DPPA" link will appear on the Terms for Use of Data / Permissible Use selection until all applicable Alerts have been updated.
